Welcome to Youth Democracy Institute (“YDI,” “we,” “our,” or “us”). By registering for or participating in any YDI program, event, or service, you agree to the following Terms & Conditions.
Program Participation
YDI provides educational programs, camps, academies, and events for youth ages 10–24. Participation requires registration by a parent or legal guardian for minors, or by the participant if 18 or older. By registering, you agree that:

All information provided is accurate and complete;

Participants will follow all program guidelines and expectations; and

YDI reserves the right to remove any participant for disruptive, unsafe, or inappropriate behavior without refund or credit.
Payments & Registration
Program registration is confirmed once payment is received and space is available. Full payment is required at the time of registration unless otherwise noted. Space is limited and offered on a first-come, first-served basis. Scholarships or sponsored spots may be available for select programs.
Registration Policy (No Refunds with Flexible Options)
All program registrations are non-refundable. We understand that plans can change and aim to provide flexible options for families.

Program Credit: Full credit toward a future YDI program (valid for 12 months).

Transfer Option: Registration may be transferred to another participant (e.g., sibling or friend) with advance notice

Emergency Consideration: Credit or rescheduling may be offered in cases of illness or unforeseen circumstances, at YDI’s discretion
If YDI cancels or reschedules a program, participants will receive the option of a full credit or refund. Our goal is to ensure every young leader has a meaningful experience with YDI, and we will work with families whenever possible to make that happen.
Assumption of Risk & Liability
YDI programs may include group activities, movement-based learning, and local travel such as field trips.
By participating, you acknowledge that:

Participation is voluntary

You assume all reasonable risks associated with participation

YDI, its staff, contractors, partners, and affiliates are not liable for injury, loss, or damages except where required by law
Medical & Emergency Care
YDI prioritizes participant safety and requires accurate health information.

Parents/guardians must disclose relevant medical conditions, allergies, or special needs

YDI staff may seek emergency medical care if needed

Parents/guardians are responsible for any medical expenses incurred
Code of Conduct
YDI is committed to creating a safe, inclusive, and respectful environment.
Participants are expected to:

Treat peers, staff, and partners with respect

Follow instructions and program guidelines

Refrain from bullying, harassment, or disruptive behavior
Failure to meet these expectations may result in removal from the program without refund or credit.
Media Release
YDI may capture photos, video, or audio during programs for educational and promotional purposes. By participating, you grant YDI permission to use this content. You may opt out in writing prior to the program start date.
Intellectual Property
All YDI curriculum, materials, and program content are owned by Youth Democracy Institute. Materials may not be copied, reproduced, or distributed without written permission
Privacy
YDI respects your privacy and uses personal information only for program-related purposes. Information collected is used for registration, communication, and program improvement. YDI does not sell or share personal data with third parties
Program Changes
YDI may make adjustments to ensure high-quality programming.

Program schedules, locations, or content may be modified as needed

Instructors or facilitators may be substituted when necessary

Significant changes will be communicated in advance when possible
.
Governing Law
These Terms & Conditions are governed by the laws of the Commonwealth of Virginia.
